In the past few months, I have been refining my Dropbox-powered writing workflow, adding new tools and checking out updates to existing ones in order to achieve a reliable, yet seamless environment for quick notes, longer articles, and lists. In particular, I mentioned TaskAgent, an iOS app to manage lists through easily formatted text files inside Dropbox.

In TaskAgent, I keep lists of apps I want to buy or update, and lists of stories I want to work on. These lists can be archived and retrieved later, and they exist as standalone .txt files in my Dropbox. If I want, I can add items to my lists using TextDrop, GoodReader, or TextEdit on my Mac; I guess it’d be nice to have a dedicated TaskAgent Mac app with the possibility of entering items with keyboard shortcuts.

See, on my computer and iOS devices, I keep lists. I have the aforementioned work-oriented lists of apps and posts I’d like to work on. I have lists of apps I want to recommend for our Inspiring UI series, and I have lists of developers I want to interview. But I also keep lists of podcasts I want to check out, movies I want to buy, groceries I need to pick up, and ideas I want to submit to a developer as feedback for his beta app.

In my mind and in my workflow, lists and tasks are separate entities. A list may contain items that will become tasks; my OmniFocus keeps the things I know I have to do — neatly organized and synced to the cloud. Over time, I have found the separation of lists and tasks to be necessary to properly divide my organization skills in two distinct areas: remembering Vs. doing. And I have found TaskAgent 2.2, released today, to be the best app at enhancing this text-based setup on the iPhone and iPad.

From a core functionality standpoint, TaskAgent 2.2 isn’t too dissimilar from the versions we have previously covered here at MacStories. However, alongside a much simpler formatting syntax and a slew of new features, TaskAgent 2.2 impressed me thanks to its completely redesigned interface and Dropbox sync engine.

On the iPad, large “notebook thumbnail previews” adorn a sidebar that can be dismissed with a button in the upper toolbar. On the iPhone, lists are shown through a Facebook-like panel that also contains shortcuts to create a new lists, enter the Settings, or open Archived lists (which aren’t permanently deleted). TaskAgent 2.2 cleverly uses these new list previews to bring up functionalities that would have otherwise been buried in sub-menus within the main interface. A tap & hold on a list will reveal options to quickly delete, rename, duplicate, or archive a list. To avoid the guilty remorse of having too many items in a list, TaskAgent now lets you hide the “0 out of x completed” description, so you’ll focus exclusively on managing your lists without feeling bad about having too many items inside them.

One of TaskAgent’s previously often criticized feature was its New Item dialog. Version 2.2 does away with uninspired blue alert boxes and introduces a new quick way of entering items one after the another: on the iPad, that’s a popover, while on the iPhone the menu has been rendered as another panel on the right. Depending on your settings, new items will be added at the top or bottom of a list, and you can enter multiple ones in a row without having to tap Done every time. The overall workflow is incredibly faster.

TaskAgent 2.2 is unarguably a better version of the app, and, to me, the best solution to manage lists on iOS while retaining the capability of editing them anywhere as long as I can open a .txt file. I can access my lists from my browser with TextDrop or from iOS using GoodReader and ReaddleDocs. I can associate TaskAgent’s folder (which can be moved anywhere inside Dropbox) with a text editor and start editing right away. I can quickly append new items to a specific list file using Alfred, and if I want, I can share a list to Evernote as well, as TaskAgent supports that service, too.

Wunderlist, the excellent task / list manager that works on the web, iOS, Mac and Android that we’ve reviewed several times in the past, got a nice update to 1.2 on OS X earlier today, bringing many features of the popular web application to the desktop. For those unfamiliar with Wunderlist, it’s a little app that leverages the power of cloud sync to make your lists and tasks always available on all your mobile devices, computers, and web browsers. Wunderlist comes with a variety of themes to choose from, and it’s clearly not oriented to OmniFocus power users that fiddle every day with large projects, AppleScripts and complex workflow. Instead, Wunderlist tries to be very simple, but always connected.

The Mac app (review here) was criticized by many for being not so “native” on the Mac platform, and I guess that’s because of the “accelerator” installer package that manages the installation process on OS X – admittedly, the app still doesn’t feel as native as OmniFocus or Things with their AppleScript integration and fancy Cocoa tricks, but version 1.2 is definitely an improvement. The app’s window can finally be closed with a CMD+W shortcut, and the sidebar can be moved on the left or right. The desktop app heavily resembles its web counterpart — more so that it even looks like the entire web app has been built into a Mac package. You can now drag files into the “notes” section of a task and have the path to the file saved in a clickable format; similarly, web links are now correctly recognized and synced to the cloud. Alongside bug fixes, real time search, speed improvements and better filters, the app comes with a shiny new icon and login screen.

Wunderlist may not be the ideal solution for OmniFocus geeks, but the team behind it is surely building a reliable solution that works anywhere at anytime, and it’s perfect for keeping lists of tasks always synced across different platforms and devices. Get Wunderlist here, for free.

I’m a huge fan of Simplenote, the free web service that works anywhere and allows you to create and sync notes across the web, iPhone, iPad and desktop computers thanks to a plethora of native third-party apps. In fact, I believe Simplenote is the easiest, yet most powerful note-syncing tool currently available on iOS devices: forget MobileMe’s notes, Simplenote is elegant, minimal, and when unlocked at its full potential with a $19.99 Premium account it allows you to do some nifty things with your notes like turn them into plain text lists, back them up on Dropbox (thus opening a whole new layer of possibilities) and create a personalized RSS feed. Simplenote works well as a free service, but it becomes a powerhouse of notes when using it as a Premium subscriber. It doesn’t surprise anyone that in the past year dozens of apps that sync with Simplenote and also sport Dropbox integration have been released in the App Store. Thanks to all these apps (including the excellent Notational Velocity for Mac), users have found a way to keep notes in the cloud, and have them always available, anywhere, on any device.

Listary, a new iPhone app by developers Portmanteau, wants to turn Simplenote into a list management tool without requiring a Premium subscription. With an elegant interface and the use of its own plain text syntax to recognize new and completed items, Listary works on the iPhone as a native app but can be accessed by any other Simplenote app, text editor or web browser. It basically works like this: once logged in with your Simplenote account, Listary will look into your note database and asks you if there’s any existing note you’d like to turn into a list. (more…)

A few weeks ago I reviewed Droplist, a Dropbox-based “list creation app” that allowed you to quickly create todos and lists on the iPhone and have them available anywhere thanks to the Dropbox integration that turned these files into plain text documents. Droplist is an easy to use app that’s powered by a nice design, and it’s now available on the iPad as well thanks to the latest update that made the app universal for all iOS devices.

The iPad app retains the same functionalities we’ve seen on the iPhone: you can create lists on the desktop by following simple formatting rules, and save them to Dropbox to make them available in Droplist. If you prefer to turn an email or a message into a list with its own actions, Droplist allows you to paste items and see them becoming a list in a few seconds. The UI design is, of course, different as it takes advantage of the iPad’s bigger screen, but you’ll feel right home if you’ve used Droplist.

Droplist is available at $1.99 here, and it’s the easiest way to create lists on Dropbox.

Dropkick is a simple, elegant iPhone app we covered a while ago that lets you manage to-dos and sync them back through the cloud to a free Mac companion application. Dropkick, in fact, is free if you want to enter up to 10 tasks, and it goes paid to unlock unlimited access to task management. The app is really minimal and focused on entering new tasks, and completing them. Cloud sync happens through a free Dropkick account, and it’s really fast. For many, Dropkick has become the best way to quickly capture and manage to-dos, keeping them always available thanks to the comfort and reliability of online sync. (more…)

Sorted is a very simple (and beautiful) to-do / list app for the iPad we first reviewed in May. The iPad was “the new hot thing” back then, not so many productivity apps were available and Things was my GTD app of choice. Sorted managed to stand out because it was elegant and provided a new way to simple list creation and task management on the tablet. It wasn’t meant for the average GTD power user still it captured the hearts of many hardcore users by being the “alternative” to more popular software like the aforementioned Things or, months later, OmniFocus for iPad.

I liked Sorted because it was the app I used to create lists out of my daily GTD environment. In fact, I still have the app on my iPad. But it’s a lot better now, as version 2.0 was released in the App Store a couple of days ago and it’s really good. (more…)
